Automated Follow-Ups: SMS, Calls and Human Handoffs
By ADEL — 2026-10-13
SMS, voice, and a person are one file with three speeds. The mistake is three tools that cannot see each other.
Follow-up fails in the seams. Chat said Thursday. Voice left a voicemail about Friday. A manager texts “did anyone call.” The customer hears three companies.
One card, three speeds
SMS / Instagram / Messenger — default for after-hours and for people who already wrote. Fast, logged, easy to take over.
Voice — when the form or missed call needs another attempt, and consent is in place. Slower, higher friction, useful when chat went quiet.
Human — when they ask for a person, when the next step is a designer, or when the agent hits a wall (price, exception, angry thread).
Handoff is a designed event
A handoff is not “the bot gave up.” It is a stage: owner, reason, transcript, next slot if one was offered. On Retail Agent the handoff is the whole point — morning manager, no checkout. On VINT the handoff is the designer opening a consult that is already on the calendar.
Write the stop rules
- Stop outbound if they booked.
- Stop voice if they said text only.
- Stop the agent if they asked for a human twice.
- Stop guessing stock or price. Say the limit, then hand off.
Those rules belong in the configuration, not in a prompt someone edits on Friday. If you need the kitchen version of this path, use the kitchen playbook. If you need quoting, skip this article and go to estimates.
